Terms for clubs using Sodalis
1. You are the club administrator
You create the club and decide who is invited in. The members are yours, not ours.
2. You are the controller for the club's content
Names, phone numbers, events and documents added by you and the members belong to the club. Sodalis is the processor: we store it in the EU and use it for nothing else.
3. Members own their own information
From the first login, only the member can edit their own name and contact information. If a member asks to have their information deleted, it will be deleted.
4. The free tier covers one club of up to 15 members
One active free club per person, and a club can have 15 members while Sodalis is free. If you are more, write to support@sodalisapp.com — we are opening up for larger clubs, and we will have that conversation before anyone is shut out. A club with at most one active member and no activity is cleaned up after prior notice (see the privacy policy).
5. Content, reports and point of contact
Sodalis may not be used for illegal content, spam, harassment or other misuse. A club's content can only be seen by the club's members, and people only become members when an administrator invites them.
How we moderate. We do not review content in advance and use no automated filtering or automated decisions. A member can report a message and block its sender in the app; everything else is reported by email as described below. Reports are read and decided by a person at Sodalis. If content is illegal or breaches these terms, we may remove or hide it, close a member's access to the club, or close the club. We assess each case carefully and objectively, and act no more intrusively than necessary.
Report illegal content. Anyone, including people who are not members, can report content they consider illegal by writing to support@sodalisapp.com. Because the content cannot be seen from outside the club, you can include it in the email, for example as text or a screenshot. A report must contain:
- why you consider the content illegal;
- where it is, as precisely as possible: the club's name, where in the app (for example an event, a document or a message) and the content itself;
- your name and email address, unless the report concerns child sexual abuse;
- a statement that you believe in good faith that the information in the report is accurate and complete.
We confirm that we have received the report, and we tell you our decision and how you can challenge it, both without undue delay.
Statement of reasons. If we remove or hide content, or close a member's access or a club, the person affected receives a written statement of reasons: what we did, the facts the decision is based on, whether it follows a report, the rule or the point in these terms it relies on, and how to challenge it. If you disagree with a decision, reply to the email or write to support@sodalisapp.com, and we will review the case again. You can always go to court.
If content suggests a criminal offence that threatens someone's life or safety, we inform the police.
Point of contact. support@sodalisapp.com is Sodalis' point of contact for users and for Member States' authorities, the European Commission and the Board referred to in Article 61, under the Digital Services Act, Regulation (EU) 2022/2065, Articles 11 and 12. You can write in Danish or English.
6. Data processing terms
When you create a club, you also enter into this data processing agreement: Sodalis processes the club's content, including member names, contact information, events, documents and messages, to provide the app and only on your instructions as given through the app's features. Processing lasts for as long as the club exists. We keep the data confidential and use appropriate technical security: access control, encryption and EU hosting. You approve Cloudflare (hosting), Resend (email) and Apple (delivery of notifications) as subprocessors. If we replace them, we will notify you, and you may close the club. We help with members' rights, including access, correction and deletion; most of it happens automatically in the app. In case of a personal data breach, we will notify you without undue delay. If you want the club deleted, write to support@sodalisapp.com; if you ask, we hand the club's data over to you before we delete it. You may ask for documentation that we comply with these terms.
7. Liability, governing law and changes
The app is provided as is. Our liability is limited to what mandatory Danish law requires. We may change these terms with reasonable notice in the app. Danish law applies.
