Privacy policy for the Sodalis app

In short

Sodalis is a closed club app. We store what is needed to make the club work in the app. No advertising, no tracking and no sale of data.

Notifications

The app only asks for permission to send notifications when you tap to turn them on. If you allow them, we send a notification through Apple when a new event is created in your club (the event's title and date), and when a day in an event is opened (the event's title and the day's name or date). Apple receives the text and your phone's push token in order to deliver it. If you turn notifications off in your phone's settings, the phone does not show them. If you sign the phone out or delete the app, we stop sending to it.

Login

Login is handled by our own server on Cloudflare. You can use a one-time email code, Apple, Google or a passkey. We never see a password; there is none. One-time codes are sent through Resend from klub@sodalisapp.com.

Where data is stored, and for how long

Club data and your login account are stored with Cloudflare in the EU region.

Your account (name, email, phone number, sign-in identifier, passkeys and devices) is kept until you delete it yourself in the app. This also applies if you leave the club or an administrator removes you: the membership is closed, but the account is not deleted automatically.

Club content is kept for as long as the club exists. A club with at most one active member and no activity for 30 days is warned by email to the club administrator and deleted 90 days later if there is still no activity. When a club is deleted, all its content, invitations and memberships are deleted, together with accounts that are not members of another club.

Other clubs are deleted when the club administrator asks us to at support@sodalisapp.com.

An invitation that has not been accepted is valid for 90 days. Once it has expired or been withdrawn, we delete it, including the name, email and phone number, in the daily clean-up. An accepted invitation stays with the club until the person deletes their account or the club is deleted.

Delete your account

You delete your account in the app under You › Delete account. You do not need to write to anyone to have it done.

We delete your name, email, phone number, passkeys and devices, meaning the sessions the app uses to keep you signed in, with their push tokens.

We also remove the name, email and phone number from the invitations you joined with, and from every invitation sent to your addresses, including in clubs you are not a member of. An invitation that is still pending is withdrawn. A one-time code you requested and did not use is deleted.

If you signed in with Apple, we also remove Sodalis from your Apple Account. If you can still see Sodalis under Sign in with Apple in your iPhone's settings, you can remove it there.

Content you wrote in the club, such as messages, tasks and minutes, remains as part of the club's shared history. Your name is removed from it; it will say Former member, and the link to your person is removed.

If you are the only administrator in a club with other members, you must appoint another administrator first so they are not left without anyone who can admit members.

Your rights

You can access and correct the information we have about you. Deletion is done in the app as described above. If you need anything else, write to support@sodalisapp.com and we will respond without undue delay.

We process the information to provide the app to you under GDPR Article 6(1)(b). If you are dissatisfied with our processing, you can complain to the Danish Data Protection Agency at datatilsynet.dk.

Sodalis is the controller for your login account, meaning email and name. For club content, such as events, documents and messages, the club administrator is the controller and Sodalis is the processor. See the terms.
